ESSENTIAL FUNCTIONS Setup and maintain vendor accounts utilizing Sage 100 & SAP Concur accounting software (i.
e.
, terms/discounts, W-9 forms, payment information).
Coordinate with purchasing department to perform 3-way match invoice processing.
Promptly & accurately code non-purchase order related invoices to accounts and cost centers across various business entities.
Prepare and process weekly A/P aging report and A/P check run & autopay payment processing.
Route & obtain corporate department head approvals on all invoices received.
Pay vendors by monitoring discount opportunities (i.
e.
, prompt pay), contract and/or invoice discrepancies, issuing credit memos, stop-payments or invoice amendments.
Review vendor accounts by reconciling monthly statements & invoice discrepancies timely.
Prepare and process expense and p-card reporting via SAP Concur.
Correspond with vendors and respond to inquiries.
Maintain and report sales & use tax by calculating requirements on paid invoices.
Assist Staff Accountant with maintaining Fixed Asset invoices.
Assist with month-end close by timely reconciling A/P aging to A/P trial balance, prepare list of monthly A/P accruals.
Prepare annual 1099 reporting & filings.
Communicate with other departments to obtain information as needed.
Purge and organize accounting records in storage.
Perform such other duties as the Accounting Manager may deem necessary.

OTHER RESPONSIBILITIES Responsibilities are not limited to the above mentioned and may include assisting other departments within reasonable and related tasks.
PHYSICAL DEMANDS Physical demands o Will occasionally stand, walk, use hands to finger, handle and feel, reach with hands and arms, talk and hear, taste and smell.
o Will frequently sit and occasionally climb or balance and stoop, kneel crouch or crawl.
o Must use both hands for rapid mental muscular coordination, simultaneously.
o Must be able to reach high and low levels, frequently.
o Must be able to push/pull/lift with arms below waist/at shoulder/above shoulder level up to 30 pounds frequently.
o Must lift with arms up to floor to waist, waist to shoulder 30 pounds.
o Must be able to constantly stand/stoop/walk/bend, up to 12 hrs.
o Ability to strenuous flex/grip with wrist/hands frequently (15 flexion/minute).
o Use of keyboard and mouse for extended period.
Work environment o May work near moving mechanical parts.
o May work around wet or humid conditions, in high, precarious places, fumes or airborne particles, outdoor weather conditions, extreme cold (non-weather), extreme heat (non-weather), risk of electrical shock, and/or risk of vibration.
QUALIFICATIONS/SKILLS 1.
5 years of Accounts Payable experience 2.
MS Office experience - mid level Excel knowledge a plus 3.
Sage 100 accounting experience and knowledge of accounting procedures 4.
SAP Concur experience a plus 5.
Excellent written, verbal, time management and attention to detail 6.
Must be willing to work flexible schedule 7.
Bilingual English/Spanish is a plus 8.
Ability to understand and interpret vendor invoices, statements, purchase orders, receiving reports, and other accounting related documents 9.
Ability to maintain confidential information 10.
Excellent interpersonal skills and problem solving ability 11.
Organize and write procedures in a logical/methodical manner 12.
